What is the Student Centre?

The Student centre is an online, web based access to the University's Higher Education student administration system. In the student centre, your can view your personal details and update some like your address and contact numbers. It is also the Universities on-line method of accepting offers, enrolling in classes and viewing results. You can also pay your fees on-line through the Student centre.

It replaces an aging student system at the University and all student data has been converted to the new system.

How do I access the Student Centre?

You can login to the Student Centre by selecting the links under the my Student centre block in the myUB Gateway intranet page, or by accessing the Student Gateway from the internet page and selecting the Student Centre. You can also type mysc.ballarat.edu.au directly into your browser to access the system. To login you use the same user name and password as for other University systems. In most instances this will be your student number and your password.

When I login, my Student Number is different to that on my ID Card.

Yes, in converting student data from the University’s old student management system to the Student Centre, a new ID number has been assigned. You will still be able to use your old number to access the system, however all documentation coming from the new student system will reference your new student number.

I've clicked on the Self Service Step by Step guide in the support for students list and a new window opens up, but what is the application I see?

It is a User Productivity Kit – a tool purchased as part of the my Student Centre Implementation project to capture system processes so system users can play back processes on their screen. You can find and use a script to play for most system processes you can do in Self Service.

I've opened UPK, but what do I choose?

Select a process you require support with by clicking the + buttons next to a heading that would seem likely for your process to be listed. If you can’t find the process, try another heading. Once a process has been found and you want to have a look at it – highlight/select the process and choose a display option. For students the recommended options are See It and Try it. We do not recommend know it and it is a mode where no help is given as a practice test of your knowledge. Do it operates as a small ‘always on top’ window where you are shown in a view window what steps to take, but will not suit the set-up of most student machines. ‘Try it’ is the most appropriate support mode where a full screen process is shown and users click and type through the script. ‘See it’ is where the scripts shows the actions required, but can be hard to get the pace right. Remember, you are not actually updating your details using this tool, but it is a practice for doing it in the Student Centre.

I’m using a student machine and I get an error when trying to access the support scripts.

Try two things:

  1. In IE go to Tools > Internet Options > Security. Click custom level button and scroll to the miscellaneous section and enable ‘Allow script initiated windows without size or positions constraints’.
  2. Ensure that ballarat.edu.au is on the list of trusted sites.

What is the Enrolment Checklist?

This checklist replaces our former ‘Enrolment’ forms. The Enrolment Checklist must be completed before a student can complete their enrolment. Once all items have been completed the student will be able to finish enrolling.

I am trying to complete my enrolment but it keeps taking me to an Enrolment Checklist?

If all items on the Enrolment Checklist are not completed the student will be unable to complete their enrolment.

I can’t open my Unofficial Transcript – it has a ‘View Report’ button but when I click on it nothing happens and I get a message saying there is a hold on my record.

A hold on your record which indicates that you need to do something before being able to access things like transcripts and potentially results. Click ‘home’ in the Student Centre check the top of the right hand menu under the heading holds. Clicking on information in this section will explain why the hold has been applied and what you can do about it.

Can I pay my overdue library fees / Student Services emergency loans / accommodation fees through My Student Centre?

No; these fees must be paid directly to the relevant department. You may have an Agency Debt in the ‘Holds’ section in your Student Centre that tells you that you owe the money but you can only pay those fees through My Student Centre that appear in your ‘Account Summary’ section.

I have received an email telling me I have an invoice waiting for me to view. Where do I find the invoice?

Login to the Student Centre. Scroll down the page to the Account Inquiry grid. Select the link Account Inquiry and then select the tab Charges Due. Scroll to the section Invoice due. Click on the Invoice Number link and the Invoice will opening a .pdf format. You can then save or print the invoice.

I have received an email telling me I have a Commonwealth Assistance Notice (CAN). Where do I find the CAN?

Login to the Student Centre. Scroll down the page to the Account Inquiry grid. Select the link Commonwealth Assistance Notice. The CAN will open in a .pdf format. You can now print and save the CAN.

How do I pay my fees online using my credit card?

Login to the Student Centre. Select the Account Inquiry hyperlink. On this page you will see the button “Make a Payment”. Click on the “Make a Payment” button and the online credit card process begins.

I have received my Invoice for tuition fees. How can I pay my invoice?

The payment options you have are:-

  • Pay by Credit Card online
  • Pay at an Australia Post outlet
  • Pay by BPay
  • Pay by Cash at Mount Helen Campus only
The instructions for the payment options are printed on the back of the invoice.
